The Mount Lawley Society (“we”, “us”) runs this tool to help residents make an informed submission to the City of Stirling about the draft Beaufort Street and Heritage Areas planning policies. This policy explains, in plain terms, what we collect and what we do with it. We've written it to be read, not to bury you.
What we collect
When you use the submission tool, we collect the information you choose to enter:
- Your name and residential or postal address;
- Your email address and (optionally) a daytime contact number;
- Optional demographic details — age range and gender — which you may decline to give;
- The issues you select and the comments you write in your own words;
- The submission text we help you draft;
- Whether you ask to be kept informed about Mount Lawley Society activities.
We also keep a one-way, salted hash of your IP address (never the address itself) purely to prevent abuse and limit duplicate or automated submissions. It cannot be reversed to identify you.
Why we keep a copy
We keep a copy of the information and the submission we help you create. We do this so that we can:
- show the strength and breadth of community feeling to the Council and elected members;
- report, in aggregate, how many people raised which concerns;
- follow up with you about this campaign if you ask us to; and
- keep a record in case there is any later dispute about the consultation.
Your individual submission is your submission. The version that counts is the one you lodge on the City of Stirling's own form — this tool helps you prepare and lodge it; it does not lodge it for you.
How your submission reaches the Council
After we help you draft your submission, we guide you through pasting it into the City of Stirling's official submission form, which you complete and send yourself, from your own device. We do not transmit your submission to the Council on your behalf, and we do not have access to the Council's systems.
Keeping you informed
If — and only if — you tick the box to be kept informed, we will add your email to the Mount Lawley Society's contact list for occasional updates about our heritage and community work. You can unsubscribe at any time using the link in any email we send, or by contacting us. If you don't tick the box, we won't add you.
Who we share it with
We do not sell your information, and we do not share it with the City of Stirling or any third party for marketing. We use a small number of service providers strictly to operate the tool: an email delivery provider (to send you your copy) and an AI provider (Anthropic) that helps draft your submission text from the words you enter. These providers process your information only to provide their service to us, and we hold this site and its database on infrastructure we control.
How long we keep it
We keep submission records for the duration of this campaign and any subsequent Council decision or review process, after which we will delete or de-identify personal details we no longer need. If you join our contact list, we keep your email until you unsubscribe.
Your choices
- You can ask us for a copy of the information we hold about you.
- You can ask us to correct or delete your information.
- You can withdraw consent to be kept informed at any time.
